Important: This policy applies to the App and related services (e.g., web dashboards, APIs) offered by us to schools and authorized users such as administrators, staff, students, and guardians.
About the App
Campusnex application is designed to support
schools, administrators, teachers, students, and parents in managing academic and
administrative tasks. The app provides features such as:
Attendance tracking and reporting
Exam schedules, grades, and progress reports
Timetable and calendar management
Parent–teacher communication and notifications
Fee management and payment tracking
The App processes educational data provided by the school for authorized use only.
All information is handled in compliance with applicable data protection laws.
Information we collect
We collect information to provide core school management features, comply with legal obligations, and improve the App. The types of data may include:
Account and profile information
Identifiers: Name, username, email, phone, role (student, parent/guardian, teacher, admin), school, class/section, unique IDs assigned by the institution.
Authentication: Passwords or credentials, OTP tokens, and session tokens. We do not store raw passwords; they are hashed and salted.
Student and academic records
Attendance: Check-in/out times, device logs (e.g., biometric terminal push/pull),Attendnace QR code scanning through mobile camera and manual entries by staff.
Admissions and fees: Enrollment details, fee invoices, payment status (we do not store full payment card numbers).
Contact and communication
Messaging: In-app notifications, announcements, circulars, and parent–teacher communication metadata.
Support: Messages you send to support, including attachments relevant to troubleshooting.
Sensitive data (limited)
Biometric attendance: If enabled by the institution, the App may receive attendance events from biometric devices. We do not store raw biometric templates on the App; the ERP backend stores only device-generated identifiers or event logs.
Child data: Student data is processed under the school’s authorization and applicable child data laws. Parental/guardian access is required where mandated.
Data collected via third parties
Payments: When you pay fees, payment gateways collect and process payment instrument details. We receive transaction confirmations and status only.
Analytics and crash reporting: Services may collect aggregated usage and crash data to improve stability and performance.
How we use information
Provide and improve services: Enable attendance, academics, communication, fees, and reporting; optimize performance; fix bugs.
Security and integrity: Authenticate users, prevent unauthorized access, and detect fraud or misuse.
Compliance: Meet legal and regulatory requirements applicable to educational institutions.
Support: Respond to inquiries, troubleshoot, and provide customer service.
Notifications: Send timely updates about attendance, exams, fees, and school announcements (you can manage notification preferences in the App).
Where required by law, we rely on lawful bases such as contractual necessity (to deliver the App), legitimate interests (to secure and improve services), consent (for optional features like certain notifications), and compliance with legal obligations.
Data sharing and disclosure
Institution and authorized users: Data is shared within the school’s ERP (admins, teachers, parents/guardians, students) based on role-based access controls.
Service providers: We use vetted vendors for hosting, storage, analytics, crash reporting, and payments under strict data processing agreements.
Legal requirements: We may disclose information if required by law, regulation, or to protect rights, safety, and property.
Business transfers: In case of merger, acquisition, or asset sale, data may be transferred under equivalent protections; we will notify affected users where feasible.
We do not sell personal information. We do not share children’s data for advertising or marketing. We do not use sensitive school records for targeted advertising.

Note: No system is 100% secure. We continuously improve our safeguards to protect school and student data.
Data retention and deletion
Retention: We retain data for as long as the school’s ERP account is active or as needed to provide services, comply with laws, or resolve disputes.
User-initiated deletion: Authorized school admins can delete or archive records per institutional policy. Parents/guardians can request deletion of their accounts or child data where legally applicable.
App uninstall: Uninstalling the App stops data collection from the device but does not delete server-side records. Please contact the school or us for deletion requests.
Children’s privacy
The App is intended for use by schools and authorized users, including students, under institutional oversight. We process children’s data upon the school’s instructions and in accordance with applicable child data protection laws.
Parental/guardian access: Parents/guardians may access their child’s records via authorized accounts.
No advertising to children: We do not use children’s data for behavioral advertising.
Consent: Where required, schools obtain appropriate consent from parents/guardians for specific processing activities.
Your rights and choices
Access and correction: You can review and update your information via the App or by contacting your institution.
Deletion and restriction: You may request deletion or restriction of processing where applicable.
Data portability: We may provide a copy of your data in a commonly used format where legally required.
Consent management: Manage notifications and optional features in the App settings.
